Use reminder sequences to follow up automatically on unsigned quotes. Each sequence defines an Audience and the Emails to send. Configure quote reminders in Quoting > Reminders; invoice reminders have their own sequences in Invoicing > Reminders.

Configure a sequence

  1. Go to Quoting > Reminders and click New sequence.
  2. Enter a Name and, optionally, a Description.
  3. Select an Audience: an existing customer segment, or Custom filters for Customer language and custom properties.
  4. Click New email. Set Email trigger to a number of days after signature request, then write the Subject and Body.
  5. Use Send test email to preview the content. Add more emails if needed, with a different delay for each.
  6. Click Save changes. Check that the sequence is Active, or use Actions > Activate.
The audience preview counts matching customers, not quotes or recipients scheduled for a reminder. Language filters select customers; they do not translate the email content you write. Hyperline selects one active quote sequence per customer. A matching segment sequence takes priority over a custom audience. Invoice and quote sequences are selected independently.

Who receives reminders

A quote must be awaiting signature or partially signed, and must not have expired. Reminders go to recipients who have received a signature request and still need to sign. With a signature workflow, only unsigned signers in the active step receive reminders. Viewers and signers in later steps are excluded. When the next step opens, each new signer’s schedule starts from their own signature request. A recipient stops receiving reminders once they sign. All follow-ups stop when the quote is fully signed, declined, cancelled or expired. Publishing a quote or sharing its link without emailing a signature request does not start a reminder schedule.

How timing works

Each delay is a whole number of days, at least one, measured from the recipient’s first signature request for that quote. It is not measured from the previous reminder. Sending the quote again does not reset that date.

Example 💡

A sequence has emails at 3 and 7 days after signature request. A signer receives their request on Monday. Their first reminder becomes due on Thursday, and the second on the following Monday, if they still need to sign. A signer invited in a later step has their own schedule.
Hyperline checks reminders daily at 6 AM UTC and queues eligible emails. Hyperline does not guarantee delivery at exactly 6 AM. Saving or activating a sequence does not send an email immediately. At each check, Hyperline considers the latest due email for each recipient. If several steps have already elapsed, Hyperline skips the earlier steps rather than sending them together. Hyperline does not replay previously sent steps.
An active sequence also applies to matching quotes already out for signature. If a delay has already elapsed, the latest eligible step can be sent at the next daily check.

Pause reminders

Open the sequence and use Actions > Pause to stop its follow-ups. Use Actions > Activate to resume. Resuming uses the same original signature request date and the latest due step.

View sent and upcoming reminders

  1. Go to Quoting > Reminders and open a sequence.
  2. Click View reminders to open its reminder list.
  3. Use Sent to see send dates, customers, quotes, recipients and delivery statuses. Switch to Future to see estimated send dates, recipients and sequence steps.
  4. Use Filters to narrow either view to a customer. Follow the customer or quote link to open its details.
Changing views keeps the customer filter and returns to the first page. Close and reopen the modal to refresh the list. Future dates are estimates for unsigned recipients who have already received a signature request in the active signing step. Signers in later steps are not included until invited. Signatures, expiry, or changes to the sequence or audience can change the list before an email is sent. An empty Future list means no further reminders are currently expected for the selected sequence and filters. For saved email content and delivery events, go to Audit logs > Email activity. See sent email history.

Troubleshoot a missing reminder

Check that:
  • The sequence is active and the customer matches its audience.
  • The quote is still awaiting signatures and has not expired.
  • The recipient has received a signature request, has not signed, and is in the active signing step.
  • A reminder delay has elapsed and that step has not already been sent.
  • Email sending is enabled for the quote’s invoicing entity.
If Reminders is unavailable or these checks do not explain a missing email, contact the team through the in-app chat.
