When sending a quote to a customer, you may want to add a PDF contract or your CGV directly to the quote, so your customer can sign the quote and the contract at the same time.

You can add it directly when creating the quote, which is convenient if it’s a custom contract and requires modifications for each quote, but may quickly become cumbersome if you have many quotes with the exact same contract details and many salespeople who’re not always sure where to find those templates.

Create a contract template

From the Hyperline homepage, click on Settings and then Contracts, it’s in the middle of the left sidebar. You’ll be presented with two sections, one for contract templates and one for contract clauses.

The first sections is dedicated to finished, non-editable templates in PDF format, think CGV, terms of service, etc… that would be replicated on many quotes without being changed.

Each template will be assigned a name, compatible invoicing entities (meaning it will only be available for customers attached to those entities) and a list of documents (in the content section) with countries and languages.

Once you’ve created a template, you can add it to a quote template (Quoting > Templates) at the bottom of the page by selecting it in the “Attach documents from templates” dropdown.

Hyperline will automatically attach the PDF matching the customer’s country and language to the quote upon creation.

If you edit the template after creating a quote, the changes will not be reflected on the quote.

Create a contract clause

Sometimes, you may want to add a clause to your contract that’s just a few lines and adding a full PDF template would be overkill.

In this case, you can create a contract clause.

Go back to Settings > Contracts and click on Add clause. It’s similar to the template section, except you’ll be able to enter text rather than a PDF, this text can be translated using the little globe icon on the top right of the input.

The default text will be used if we don’t know the customer’s language of if no specific translation is available for it.

Clauses can be attached to quote templates the same way PDFs are, they’ll be added to the “Contract terms” section of the final quote.
