# DATEV

> Connect Hyperline to DATEV Buchungsdatenservice to export debtor master data, invoices, credit notes, payments, and linked PDFs to your tax adviser.

[DATEV](https://www.datev.de) is accounting and tax software used by German tax advisers (Steuerberater) and their clients. Hyperline connects through **DATEV Buchungsdatenservice** and sends debtor master data, outgoing invoices, credit notes and corrections, payment bookings, and the invoice PDFs linked to their bookings.

This guide is written for both the Hyperline administrator and the tax adviser who receives the data.

## Prerequisites

    Buchungsdatenservice is a DATEV service that must be ordered and activated for the intended Beraternummer and Mandantennummer before any software can send data to it. Your DATEV administrator or tax adviser can do this at [go.datev.de/datenservices-einrichten](https://go.datev.de/datenservices-einrichten).

  <Step title="Check the authorizing user's permissions">
    The DATEV user who authorizes the connection must have access to that exact client dataset, and to both its Buchungsdatenservice and its document service.

  <Step title="Collect the accounting settings from your tax adviser">
    You need the fiscal-year start, account length, chart of accounts (SKR), debtor account range, the revenue / credit-note / payment accounts, and the tax codes. They fill in the settings below.

You also need admin rights on Hyperline.

  Buchungsdatenservice is a DATEV product with its own activation and permissions. Hyperline cannot order it for you, and a dataset without it cannot be connected.

## Connect

    You are redirected to DATEV to authenticate. Hyperline never sees your DATEV password.

  <Step title="Choose the client dataset to connect">
    Hyperline lists the datasets your DATEV user can reach, each with its company name, Beraternummer, and Mandantennummer. Search by any of the three, then select the one to connect.
  </Step>

  <Step title="Authorize long-term access">
    DATEV asks you to confirm long-term access for that dataset. Hyperline verifies it can reach that exact client before the connection is shown as active, and stores a long-lived credential so you do not reauthorize for every export.

One Hyperline invoicing entity connects to exactly one DATEV client dataset, and DATEV issues one long-term credential per dataset. Connecting the same dataset again replaces the previous credential.

After connecting, the integration page shows the connected dataset, the person who authorized it, the connection status, the date the access expires, and a link to DATEV's [connected applications](https://apps.datev.de/tokrevui) page.

  To switch to a different DATEV client later, reconnect the integration from the DATEV integration page and select another dataset.

## Settings

Open the DATEV integration page in Hyperline to configure the connection. All of these settings are available under **Settings > Integrations > DATEV**.

### Client identification

| Setting           | Description                                                                                  |
| ----------------- | -------------------------------------------------------------------------------------------- |
| Consultant number | DATEV consultant number (Beraternummer) provided by your tax adviser.                        |
| Client number     | DATEV client number (Mandantennummer) inside your consultant's DATEV environment.            |
| Fiscal year start | First day of the fiscal year the export covers. Required by DATEV to validate booking dates. |

The combination `consultantNumber-clientNumber` must match the DATEV client you authorized. If it does not, Hyperline displays a warning so you can update the settings or reconnect the matching client.

### Account settings

| Setting                                         | Description                                                                                                                                                         |

| SKR                                             | Chart of accounts (Standardkontenrahmen) used by the client, typically `SKR03` or `SKR04`.                                                                          |
| Account length                                  | Length of ledger account numbers, from 4 to 8 digits. Must match the DATEV client configuration.                                                                    |
| First debtor number / Collective debtor account | Starting number used when Hyperline creates new debtor (customer) accounts, or the collective debtor account used for manual exports. The minimum value is `10000`. |
| Default invoice account code                    | Revenue account used for invoices, for example `8400` in `SKR03` or `4400` in `SKR04`.                                                                              |
| Default credit note account code                | Revenue account used for credit notes.                                                                                                                              |
| Default payment account code                    | Clearing account used for payments, for example `1200` in `SKR03` or `1800` in `SKR04`.                                                                             |
| Rounding account code                           | Optional account used to absorb rounding differences, for example `8736` or `4736`.                                                                                 |
| Default tax code                                | Default VAT (Umsatzsteuer) code applied to bookings.                                                                                                                |

### Document settings

Invoice PDFs are filed in DATEV under three archive levels. Hyperline applies its own defaults when these are left empty.

| Folder        | Second archive level, separating invoices from refunds.           |
| Register      | Third archive level, by accounting month.                         |
| Document type | Optional DATEV document type. Omitted from the upload when unset. |

### Export options

| Setting                       | Description                                                                                  |
| ----------------------------- | -------------------------------------------------------------------------------------------- |
| Diktat code (Diktatkürzel)    | Two- or three-letter code that identifies who created the export inside DATEV.               |
| Posting lock (Festschreibung) | When enabled, exported bookings are marked as final so they cannot be modified after import. |
| Cost center 1 / Cost center 2 | Optional cost centers (Kostenstelle 1 / 2) attached to every booking.                        |

<Warning>
  Hyperline validates that the mandatory settings—consultant number, client number, fiscal year start, account length, and the three default account codes—are filled in. You cannot generate an export when any of these fields are missing.
</Warning>

Ledger accounts and accounting rules decide the revenue account and tax code used for each line. If no rule matches, Hyperline exports a warning and leaves the account blank rather than guessing one — review export warnings with your tax adviser before importing.

## Send an accounting month to DATEV

    Navigate to **Settings > Integrations > DATEV** and scroll to the **DATEV exports** section.
  </Step>

  <Step title="Select one complete accounting month">
    The range is interpreted in UTC. Sending is available only for a full calendar month; a partial range can still be downloaded as a file.
  </Step>

  <Step title="Send the month">
    Hyperline collects the invoices, credit notes, and payments for that month, uploads the invoice PDFs, then submits the booking file.
  </Step>

How the transfer works:

* Hyperline generates standard **DATEV-Format** files, not a proprietary format.
* Movements are grouped by accounting month and transaction type; debtor master data is sent separately.
* Invoice PDFs are uploaded **before** the booking file that references them. The document's stable identifier is written into the `Beleglink` field, so the supporting document opens directly from the booking in DATEV Rechnungswesen.
* DATEV answers an upload with `202 Accepted`, which only means the import was queued. Hyperline polls the job until DATEV reports the import finished, and shows an error if it did not.

  Movement data that DATEV has already accepted is never submitted a second time automatically. If an accepted import later fails, a retransmission has to be requested from Hyperline support, who create it as an audited copy of the original export.

## Manual ZIP exports

The file-based flow remains available alongside the direct transfer, for any period and for sharing with a tax adviser who imports the files themselves.

    Select the period the export should cover, in UTC. Presets are available for the previous month, the current month, and the current year.
  </Step>

  <Step title="Generate the export">
    Click **Generate DATEV export**. Hyperline builds a ZIP archive containing the DATEV-Format files.

  <Step title="Download and import into DATEV">
    Open the generated export from **Reports > Exports**, download the ZIP, and import it into DATEV Rechnungswesen or share it with your tax adviser.
  </Step>

  Invoices and credit notes are selected by their issue date, and settled payments by their processing date. Both are compared against the selected range in UTC, so select your period accordingly if you work in another timezone.

<Note>
  Generated exports remain available under **Reports > Exports** so you can download them again or share them with your accountant later.
</Note>

## What is and isn't exported

**In scope**

* Outgoing invoices
* Credit notes and invoice corrections
* Payment bookings
* Corporate debtor master data
* Invoice PDFs linked to their bookings
* German VAT and reduced VAT, configured tax-exempt and reverse-charge cases, third-country mappings
* Foreign-currency invoice fields

**Not in scope**

* OSS (One Stop Shop) fields
* Down-payment and final-invoice fields
* Service-period / PRAP fields
* Generalumkehr (general reversal)
* Domestic §13b reverse charge
* Payment cash discounts (Skonto)
* Foreign-currency payment settlements
* Natural-person debtor master data

<Warning>
  Data that falls outside the supported scope has to be corrected or excluded before export. Hyperline refuses it rather than silently changing its tax treatment.

## Errors

Hyperline shows an actionable error on the integration page for each of these, rather than failing silently:

| What happened                            | What to do                                                                                     |
| ---------------------------------------- | ---------------------------------------------------------------------------------------------- |
| Invalid Beraternummer or Mandantennummer | Check the numbers with your tax adviser and reconnect.                                         |
| Dataset without Buchungsdatenservice     | Order and activate the service for that dataset at DATEV, then reconnect.                      |
| Missing permission on the dataset        | Have the DATEV administrator grant the authorizing user access to the client and its services. |
| Authorization expired or revoked         | Reconnect the integration from the Hyperline integration page.                                 |
| Invoice PDF invalid or too large         | Regenerate the PDF (DATEV accepts PDFs up to 20 MB), then retry the export.                    |
| DATEV rejected the export file           | Review the export warnings and the affected invoice data with your tax adviser, then retry.    |
| DATEV is rate-limiting requests          | Nothing — Hyperline retries automatically.                                                     |

## Support

Contact Hyperline support first for anything involving the DATEV integration, with the connected client dataset, the date and time of the export, the affected invoice or customer IDs, and the error shown in Hyperline. Hyperline keeps a technical log of every request exchanged with the DATEV gateway and investigates it before escalating anything to DATEV.

## Manage the integration

You can disconnect DATEV from the Hyperline integration page at any time. Hyperline revokes the credential at DATEV and deletes the local connection. DATEV users can also review and revoke Hyperline's access at [apps.datev.de/tokrevui](https://apps.datev.de/tokrevui).
