# Email settings

> Configure customer emails, verify a custom sending domain, customize senders and reply-to addresses, and preview templates and sent emails.

Configure your emails in **Settings > Emailing**. The settings are organized into three tabs:

| Tab                 | What you can configure                                                         |
| ------------------- | ------------------------------------------------------------------------------ |
| **Customer emails** | Which notifications Hyperline sends to customers.                              |
| **Sending**         | Your sending domain, sender and reply-to addresses, and additional recipients. |
| **Templates**       | Previews of customer emails by language and invoicing entity.                  |

  In [test mode](../getting-started/sandbox), these settings still send real emails when the
  related action occurs. Use internal or dedicated test addresses for sandbox
  customers and recipients.

## Customer automated emails

In **Settings > Emailing > Customer emails**, enable or disable each notification, then click **Save changes**.

| Email                                  | When it is sent                                                                                        |
| -------------------------------------- | ------------------------------------------------------------------------------------------------------ |
| **Invoice to pay (manual payment)**    | When an invoice with a manual payment method, such as bank transfer, is generated.                     |
| **Invoice to pay (automated payment)** | When an invoice with an automated payment method is generated.                                         |
| **Invoice paid**                       | When an invoice or document is fully paid, including after recording an offline payment.               |
| **Payment failed**                     | When there is an issue with the payment of an invoice.                                                 |
| **Credit note finalized**              | When a credit note is finalized and not yet refunded.                                                  |
| **Credit note settled**                | When a credit note has been applied.                                                                   |
| **Quote signed**                       | When the customer signs a quote.                                                                       |
| **Checkout session created**           | When a checkout session is created for a new subscription. You can override this setting per checkout. |
| **Checkout session completed**         | When the customer completes checkout.                                                                  |

These settings apply across your account. [Invoice reminders](../invoices/reminders) have their own configuration. For invoice-specific behavior, including e-invoicing, see [Invoice emails](../invoices/emails).

## Custom sending domain

A sending domain lets you send customer emails from your own address, such as `billing@alpeak.com`. You need access to your domain's DNS settings, or help from the person who manages your company's domain.

### Add and verify a domain

1. Go to **Settings > Emailing > Sending**.
2. Under **Sending domain**, click **Add domain**.
3. Enter a domain or subdomain you own, such as `alpeak.com` or `mail.alpeak.com`, without `https://`, a path, or an email address. Confirm with **Add domain**.
4. Expand **DNS records** on the domain card. At your domain provider, add each record using the type, **Name**, and **Value** shown in Hyperline. Use the copy buttons to avoid transcription errors.
5. Open the domain's actions menu and click **Check** to refresh its verification status.
6. Once the status is `Verified`, [configure a sender address](#sender-and-reply-to-addresses) for each invoicing entity that should use the domain.

For a new domain, configure sender addresses after verification. You can register one custom sending domain per account; an existing deprecated domain can remain alongside it during migration.

| Status                 | What to do                                                                                                                                    |
| ---------------------- | --------------------------------------------------------------------------------------------------------------------------------------------- |
| `Pending verification` | Confirm that all displayed DNS records have been added. DNS changes may not be visible immediately; use **Check** again after they propagate. |
| `Verified`             | The domain is ready to use for custom sender addresses.                                                                                       |
| `Verification failed`  | Review the record types, names, and values at your domain provider, correct any differences, then click **Check**.                            |
| `Not configured`       | Complete the domain setup before using a custom sender address.                                                                               |

  Your email sending domain is configured separately from the [custom domain for hosted portal and checkout pages](../customers/portal#set-a-custom-domain). Use the DNS records displayed under **Sending domain** for email verification.

### Migrate a deprecated domain

If your existing domain is marked `Deprecated`, register the same domain again with **Add domain** and add the new DNS records shown in Hyperline. Keep the existing domain configuration until the new registration is verified.

Once the new registration is verified, Hyperline automatically moves the associated invoicing-entity senders from the deprecated registration to the new one. Review **Senders and reply-to** before deleting the deprecated entry. If you choose a different domain instead, update each entity's sender address after verification.

### Delete or replace a domain

Open the domain's actions menu, click **Delete**, and confirm. To replace your custom domain, delete it, add and verify the replacement, then configure the affected senders again.

  Deleting a domain resets the sender addresses associated with it to Hyperline's default sending address. Review the affected invoicing entities before deleting it.
</Warning>

## Sender and reply-to addresses

In **Settings > Emailing > Sending**, use **Senders and reply-to** to control the name and address customers see and where their replies go.

By default, emails are sent from **Hyperline** at `no-reply@mail.hyperline.co` in production or `no-reply@sandbox.mail.hyperline.co` in test mode. You can customize the sender name, sender email address, and reply-to address independently for each [invoicing entity](./invoicing-entities).

### Set the default reply-to address

1. In the **Default** row, open the actions menu and click **Edit**.
2. Enter the **Reply-to email address** that should receive customer replies.
3. Click **Save changes**.

Entities without their own reply-to address use this default.

### Customize an invoicing entity

1. Click **Customize** and select an invoicing entity. To change an existing override, open the entity's actions menu and click **Edit**.
2. Enter the **Sender name**.
3. To use a custom **Sender email address**, verify your sending domain first, then enter only the part before `@`, such as `billing`. Hyperline displays the domain alongside it. If a **Sending domain** selector appears, select the verified domain you want to use.
4. Enter a **Reply-to email address**, or leave it empty to use the account default.
5. Click **Save changes**.

You can customize the sender name or reply-to address while keeping the default sender email address. To restore all default sender and reply-to settings for an entity, select **Reset** from its actions menu and confirm.

  You verify `alpeak.com` and configure an invoicing entity to send emails as **Alpeak Billing** from `billing@alpeak.com`. You set its reply-to address to `finance@alpeak.com` so customer replies reach your finance team.

## Additional email recipients

Under **Settings > Emailing > Sending > BCC recipients**, you can add up to five addresses to receive copies of selected customer emails. BCC recipients are hidden from the customer and other recipients.

1. Click **Add recipient**.
2. Enter the recipient's email address and select the email types they should receive.
3. Save the recipient.

Use the recipient's actions menu to edit their address or email types, or remove them. This is useful for keeping your finance team or accountant informed.

## Preview email templates

1. Go to **Settings > Emailing > Templates**.
2. Click the **Preview emails** icon next to a template.
3. Select a **Language** and, if your account has multiple entities, an **Invoicing entity**.
4. Review the subject, sender, and email body in the side panel.

Template previews use example data to show how an email looks with the selected entity and language. Opening a preview does not send an email.

## Preview sent emails and delivery history

1. Open **Audit logs > Email activity**.
2. Select an email to open its details.
3. Review its recipient, BCC recipients, current status, and related customer, invoice, subscription, or quote.
4. When a saved preview is available, review the subject, sender, and email body as they were sent.
5. Use **History** to follow recorded events, such as sending, delivery, opening, or failure.

<Note>
  Sent-email previews are available only for emails whose content was saved when they were sent. Older emails may show details and history without a preview. An opening event identified as likely automated can come from an email security scanner rather than the recipient.
